Delegates management

Our long-term experience in the organization of congresses and exhibitions of different scope (from small to major ones, with the number of delegates over 1000) and format (including ones with international participation), allows us to carry out delegates management at all the stages of the preparation for the exhibition and holding it efficiently.

As the single contractor we are ready to:

  • Form the data base of potential participants from “MEDI Expo’s” thematic data bases of medical institutions
  • Carry out direct-mailing of invitations using “MEDI Expo’s” personalized thematic database.
  • Carry out preliminary registration of participants by fax, e-mail and the online-form on the site, based on which personal invitation cards will be prepared for printing; carry out preliminary processing of applications.
  • Prepare and send contracts, accounts; notify the participants of the payments received, prepare all the necessary financial documents for each participant upon the event completion
  • Provide current reports on the preparation for holding the event
  • Reserve all relevant services connected with the event participants’ stay (air tickets, hotel accommodation, visa support, meeting-seeing off, etc)
  • Set up the registration zone right at the event site (the participant only has to introduce himself, the registration will take 1-3 minutes, including materials and name badges distribution)
  • Collect and supply the Customer with quantitative and personal information about all the participants in the event.
  • Make up detailed total statistics on the event participants and guests
  • Prepare the final report on financing and expenditure upon the completion of the event with all financial documents for the subsequent financial account attached.
